NOTARY SERVICES

 

Powers are conferred upon Consular Officer of the Embassy to undertake any notary act which any notary public can perform within Malaysia and to administer oaths, take affidavits and generally exercise the functions of a commissioner for oaths.

 

In addition, Consular Officer of the Embassy is also empowered to certify (or commonly called legalised) for use in Malaysia the identity of official seals and signatures on documents emanating from Belgium or Luxembourg. Consular Officer, in some cases, may also legalise official seals and signatures on Malaysian official documents for use in Belgium or Luxembourg.

 

A document drawn up in Malaysia for use in Belgium or Luxembourg must be executed by a notary public in Malaysia and authenticated by the Ministry of Foreign Affairs, Malaysia before it could be presented to the Embassy for legalisation. The same procedure applies to a document originating from Belgium or Luxembourg for use in Malaysia where the document will have to be executed by their notary public and authenticated by the Federal Public Service of Foreign Affairs, Foreign Trade and Development Cooperation of Belgium or the Ministry of Foreign Affairs of Luxembourg before it is presented to the Embassy for legalisation.

 

Requirements for notary services are as follows:

 

  • Passport;
  • Malaysian Identity card (applicable to Malaysians only);
  • A formal application letter from company duly printed and signed by an authorised person on company's letterhead pad (if applicable);
  • Documents that need to be certified/endorsed/legalised (original and photocopy);
  • A fee of RM20.00 per each certification/endorsement/legalisation (payable in equivalent Euro).
